Job Summary

This position exists to perform high-level lead clerical and administrative support in the Minnesota Pollution Control Agency’s (MPCA) Detroit Lakes Regional Office. This position is responsible for large, complex, or multiple function systems with a broad knowledge of multiple programs sufficient to develop and improve work procedures while having a broad knowledge of MPCA terminology. This position will train new administrative staff in the Detroit Lakes Regional Office in administrative policies and procedures that have an overall Agency impact. This position also exists to complete multiple regional office managerial tasks in collaboration with regional office manager to assure the regional office functions smoothly and efficiently.

Qualifications

Minimum Qualifications

Skilled in using Microsoft Word to create, format, edit, print, and save a variety of documents, including memos and correspondence as well as spreadsheets, tables, charts, and graphs in an efficient manner.

Experience with databases and workflows to include accuracy and attention to detail.

Customer service skills to respond effectively to customers who have questions about agency operations and procedures (in person, on the phone, and through public presentations).

Ability to understand and follow written and verbal instructions.

Business English skills sufficient to speak, read, write, prepare, and edit materials, using correct and error-free spelling, punctuation, grammar, and typing.

Possess a valid driver’s license – see additional requirements.

The Minnesota Pollution Control Agency will not sponsor applicants for work visas. In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required employment eligibility verification form upon hire.

Preferred Qualifications

Two (2) years of customer service or two (2) years general office experience using working knowledge of Microsoft Word, Excel, and Adobe Acrobat DC.

Experience working with a document management system and document entry.

Knowledge of data practices requirements when working with data and the ability to keep confidential information private and handle it appropriately.

Excellent problem solving and analytical skills.

Ability to:

Function both independently and in a team environment.

Establish and maintain effective working relationships with other employees and the public.

Prioritize multiple assignments according to program guidelines.

Follow detailed instructions for data entry, processing of documents, and execution of tasks in multiple data systems.

Ability to research and understand information.

Physical Requirements

Requires occasionally lifting and/or carrying such articles as file folders and boxes. Although a sedentary job is defined as one which involves sitting, a certain amount of sitting, walking, and standing is often necessary in carrying out job duties.

Additional Requirements

A driver’s license is an essential function of this position. This requires possession of an unrestricted Class D Driver’s License. The job offer is contingent on confirmation of a valid driver’s license AND a satisfactory driver's license record check. Requires a Class D driver's license: a single unit vehicle with a gross vehicle weight of less than 26,000 pounds. This is a basic driver's license.

Operators may also tow vehicles/trailers as long as the gross combination weight does not exceed 26,000 pounds.
