Undergraduate Admissions Central Staff

Job Summary

Central Staff assists the Office of Undergraduate Admissions in the recruitment, selection and training of the Admissions Ambassadors, participate in the planning and facilitation of recruitment and transition programs and assume the administrative support responsibilities prior to and during Admissions events. They are student leaders who help share the Oakland experience to prospective students and their family members. Central Staff Members are some of the best student leaders at OU and will become part of a close knit, dynamic group. They also help to maintain social media and online recruitment activities, assist with the organization of Admissions recruitment materials, and respond to prospective student and Admissions Adviser material requests. Central Staff members additionally assist in the facilitation and daily operation of the Admissions Telecenter.

*New Central Staff members are encouraged to work in the summer if applicable.

*All Central Staff members are required to be at training at the end of the Winter term

●      Must have served as an Admissions Ambassador in good standing for at least 1 semester

Conditions of Employment

● Must be a current OU student with a minimum cumulative GPA of 2.5 and must maintain at GPA of a 3.0 minimum during the Central Staff tenure

● Applicant must be in good academic and judicial standing

  • Experience as an Admissions Ambassador, and a good understanding of the functions of Undergraduate Admissions

● All Central Staff are required to maintain weekly office hours and attend mandatory central staff meetings

●All Central Staff are expected to participate in Admissions-sponsored programs and activities throughout the year. This includes Ambassador recruitment, selection and training sessions, weekly program planning meetings, social media and online recruitment activities, and all recruitment programs

●You must work a minimum of 15 hours to remain a Central Staff for the academic school year

Job Requirements

● 15 hours weekly office & program work, including weekly staff and planning meetings (hours may vary depending on programs)

● Assist with the planning and facilitation of all recruitment programs

● Maintain and update staff tasklists, staff phone sheets, training manuals, call sheets, tally forms, event RSVPs, and evaluations

● Assist with campus room reservations, signage and food orders

● Attendance at special programs required when not in class. Programs may include: Welcome Receptions, Discover OU, Transfer Student Open Houses, Transfer Tuesdays, Go for the Gold, Community College Counselor Connection, High School Counselor Connection, Academic Visit Days, etc.

● Assist with Admissions Ambassador recruitment and training and weekly meetings

● Create and maintain information using Google Drive, Excel, PowerPoint, Publisher, and Word

● Aid in the recruitment, selection, and training of Admissions Ambassadors

● Help with the creation and distribution of ambassador training materials

● Play a key leadership role during recruitment programs

● Provide special campus tours

● Prepare and stage recruitment materials

● Assist in the inventory/tracking of Admissions materials

● Provide support with Admissions program evaluations

● Assist with making phone calls for the Telecenter

● Other duties as assigned

Specific Responsibilities

● Make outgoing calls and answer calls from students, parents and campus partners

● Copy materials and open daily mail

● Create computer grids/graphs

● Develop and update program materials including agendas, evaluations, and PowerPoints

● Maintain records in a filing system

● Compile survey/evaluation results

● Organize and maintain admissions programming materials and storage spaces

● Create and distribute correspondence/deliveries to campus partners and off campus constituents

● Maintain inventory of recruitment materials

● Coordinate resource fairs at programs

● Review and update campus tour cards and information for ambassadors

● Assist with Admissions mailings

● Design and post directional signs for recruitment events

● Staff information and recruitment tables

● Develop task lists for programs

● Assist Admissions Advisers with recruitment materials and delivery of materials          

● Frequent errand delivery around campus

● Design and print programs for events

● Assist with social media and online recruitment activities

● Review Oakland University’s and other institutions websites information periodically

● Staff front desk as needed

● Facilitate occasional tours if needed

● Assist with the counting and stuffing of program bags and materials

● Assist with maintenance of the Telecenter

● Assist GAs with the Admissions Ambassador Calendar

● Assist in the preparation and distribution of outdoor and indoor signs for recruitment programs

● Plan and execute team building activities for the Ambassador Team

● Assist advisers with local campus visits (if necessary)

● Assist with the Alumni Admissions Ambassador Program, Hometown Grizzlies and Grizzly Story-time visits

● Re-stock Admissions materials (Admissions, Welcome Center, OC and NFH Informational Desks)

● Compile survey and evaluation results

● Assist with one-day individual visits

● Facilitate Daily Campus Tours greeting in Welcome Center (if needed)
