Role Summary

Aventura Adamo is seeking a highly organized, proactive, and detail-oriented Secretary to join our growing team. This pivotal role will provide comprehensive administrative support to our executive team and ensure the smooth and efficient operation of our office. The ideal candidate will be adept at managing multiple tasks, possess excellent communication skills, and thrive in a fast-paced, innovative startup environment.

Key Responsibilities

Calendar and Meeting Management: Manage complex calendars for executives, including scheduling internal and external meetings, appointments, and conferences.

Correspondence and Communication: Draft, proofread, and distribute professional correspondence, memos, reports, and presentations. Act as a primary point of contact for internal and external inquiries, directing them appropriately.

Office Operations: Oversee general office administrative tasks, including maintaining office supplies, managing incoming/outgoing mail, and ensuring a tidy and organized workspace.

Document Management: Organize and maintain highly confidential physical and electronic filing systems, ensuring efficient retrieval and adherence to data security protocols.

Travel Coordination: Arrange domestic and international travel logistics for executives and team members, including flights, accommodation, and ground transportation.

Expense Management: Process and reconcile expense reports accurately and in a timely manner.

Event Support: Assist with the planning and coordination of company events, team meetings, and executive retreats.

Information Flow: Facilitate efficient information flow within the organization, ensuring timely dissemination of important updates.

Special Projects: Undertake ad-hoc administrative projects as required to support the executive team and overall business objectives.

Qualifications

Required:

Proven experience (X+ years) in a secretarial, administrative assistant, or executive assistant role.

Exceptional organizational skills with a strong ability to multitask and prioritize effectively.

High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace (Docs, Sheets, Slides, Calendar, Gmail).

Excellent written and verbal communication skills with a professional and courteous demeanor.

Strong attention to detail and accuracy in all tasks.

Ability to handle confidential information with discretion and integrity.

Proactive and resourceful problem-solver with a strong work ethic.

Ability to work independently and as part of a collaborative team.

Preferred:

Associate's or Bachelor's degree in Business Administration, Office Management, or a related field.

Experience working in a startup or technology-driven environment.

Familiarity with project management tools (e.g., Asana, Trello) or communication platforms (e.g., Slack).
