Overview
Executive Assistant Emerging Professional is an entry-level on-site position that is in charge of assisting the executive director with their tasks and duties. These can include but are not limited to taking calls, checking back with clients and organizations, filing information, and researching and compiling information on organizations and agencies. They may also work with the executive director in creating, planning, managing, and financing programs. This is a great opportunity for those interested in learning more about the ins and outs of running a non-profit organization and managing administrative and secretarial tasks.

Compensation: Unpaid
Schedule:
Monday, Wednesday, Friday: 11:30 AM – 4:30 PM
Thursday: 8:30 AM – 1:30 PM
Monthly Commitment: Every 4th Saturday, 6:00 AM – 1:00 PM
Hours: 20 hours

Experience
The emerging professional must be:
Applicants must be Work-Study eligible and have a completed FAFSA on file with their university prior to applying.
Have a high school diploma
Interested or have experience in Business Management or Office Administration
Working towards or be interested in pursuing a Bachelor’s in Business Management or Administration, Business Operations, Secretarial and Administrative Sciences, Accounting, Communications, or any related field
Comfortable with on-camera presence, including participation in live streams, photos, and video content for social media and promotional use.
Responsibilities
The emerging professional is responsible for, but not limited to the following:
Build and foster relationships with organizations, communities, volunteers, etc.
Help create and analyze plans to address business needs
Help create and manage processes and operations
Follow up on behalf of Stone Global Realty in regards to thanking donors, volunteers, partnered organizations, etc.
Research and analyze new ways to manage volunteers and donations
Run reports, take minutes, and analyze the activities of every main program
Take notes and gather information in meetings
Assist the executive director in meeting with organizations, clients, donors, volunteers, etc. such as providing general introductions, taking notes, assisting with goods and services, etc.
Assist the executive director in running and managing the main programs
Assist with administrative tasks, including scheduling meetings, coordinating travel, and communicating with designated organizations, businesses, sponsors, etc.
Analyze the needs of the community with the current resources and help develop ideas to successfully fulfill those needs
Assist in preparing presentation materials and reports, including the ability to convey technical information in an accessible manner.
Handle internal and external communication, including emails, phone calls, and physical correspondence.
Maintain electronic and paper records, ensuring that information is organized and easily accessible.
Conduct research and data analysis as needed.
Coordinate with different departments and act as a liaison for the administration team.
Adhere to and manage office procedures and policies.
Undertake occasional special projects as assigned.
Filing and compiling data
Run personal errands
Recruit up to 1-2 Interns and manage their tasks
Update/organize files, websites, stock shelves, and Google Drive files
Interview applicants that you manage and for other positions
Design Canva Flyers for events and fundraisers
Attend every 4th Saturday of each month for the Serving Hope event 6:00 AM – 1:00 PM (Community service)
