FLSA Status:         Non-Exempt               

Compensation:     Stipend of $4,000 total for the duration of the program (equivalent to approximately $19.05/hour. This   does not include lodging or transportation)  

Hours Per Week:    21 Hours  

Location:                 Atlanta, GA (Must be local to location of office)

JOB DESCRIPTION 

The Operations Intern will support the Institute for Capacity Building’s Operations team by assisting with administrative, logistical, and project coordination activities that enable effective delivery of ICB programs and initiatives. This internship provides hands on exposure to nonprofit operations, higher education administration, and large-scale event planning, including direct support for the UNITE Summit.

The intern will contribute to day-to-day operational workflows, collaborate across departments, and support planning and execution efforts tied to ICB’s strategic priorities. By the end of the internship, the intern will complete a capstone project that delivers tangible value to the Operations team and supports sustainable improvements beyond the summer.

PRIMARY RESPONSIBILITIES AND DUTIES: 

Operations & Administrative Support

  • Assist with daily operational and administrative tasks across the ICB Operations team.
  • Support meeting coordination, including scheduling, agenda preparation, note taking, and follow up action items.
  • Assist with document management, process documentation, and maintaining organized operational records.
  • Support vendor coordination, invoice tracking, and basic budget or expense monitoring.
  • Assist with data tracking and the use of project management or tracking tools.
  • UNITE Summit Planning & Support
  • Support logistical planning and coordination for the annual UNITE Summit, ICB’s flagship convening.
  • Assist with registration preparation, materials development, and internal coordination across teams.
  • Support communications and documentation related to vendors, partners, and internal stakeholders.
  • Assist with inventory management, shipment tracking, and on site or virtual preparation as needed.
  • Provide operational support during summit execution, as applicable.

Cross Functional Collaboration

  • Work collaboratively with colleagues across Strategy Development, Finance, Program Management, and Transformation Support.
  • Participate in team meetings, project check ins, and learning opportunities.
  • Support special projects as assigned based on organizational priorities.

 

SUPERVISORY RESPONSIBILITIES

No supervisory responsibilities. 

 

QUALIFICATIONS: 

 

EDUCATION AND EXPERIENCE 

 

  • Currently enrolled in an accredited college or university undergraduate or graduate program. Preferred fields include business administration, operations management, public administration, higher education, nonprofit management, or related areas.
  • Minimum cumulative GPA of 2.5.
  • Strong organizational skills with a high level of attention to detail.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast paced environment.
  • Strong written and verbal communication skills, including professional email and documentation practices.
  • Professional demeanor and ability to work collaboratively across teams.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); familiarity with project management tools is a plus.
  • Demonstrated interest in higher education, nonprofit operations, and mission driven work.
  • Availability to work onsite during our core hours Monday – Friday, 9:00am – 5:00pm.
  • Availability for occasional evenings and weekends event(s).
