Job Description General Summary:

The Graduate Student Assistant for Undergraduate Recruitment is an Oakland University graduate student who works in Undergraduate Admissions. Under the direction of the Assistant Director of Campus Visits or Assistant Director of Communications, is involved in a variety of activities including recruitment program planning and implementation support, coordination of the campus visit program, and organization of the student admissions ambassador program.

 Essential Duties:

§ Assist with the planning and implementation of all undergraduate recruitment programs including: daily campus tours, Saturday tours, group visits, Transfer Open House, Go for the Gold, Welcome Receptions, & Academic Visit Days.

 § Support the development and delivery of on-campus events and programs for high school and community college counselors.

 § Assist the Assistant Director of Campus Visits and Office Assistant with programming efforts including the negotiation and reservation of facilities, catering, housing and other logistics for recruitment programs, on and off campus as needed.

 § Manage the day-to-day operation of the campus visit program including the creation of the daily campus tour schedule, the facilitation of group visits and campus tour greetings, and the creation of the Telecenter schedule.

 § Assist with the supervision of student ambassadors who assist in day-to-day operations of Undergraduate Admissions including staffing the front desk and Telecenter.

 § Assist in the hiring, training and supervision of student staff.

 § Advise prospective students and family members via the Visit (visit@oakland.edu) email account.

 § Monitor the effectiveness of student ambassador members and student personnel issues (time-reporting, goal-setting, and performance management).

 § Prepare ambassador training and weekly materials and oversee on-going training for general and campus tour specific customer service, for general, group and special tours.

 § Manage strategic communication with students, parents, counselors, faculty, staff, students and alumni, including email, print, and social media.

 § Assist with the inventory, maintenance and distribution of admissions recruitment materials.

 § Assist the Assistant Director of Campus Visits and Office Assistant to create and update program materials including invitations, program agendas, evaluations, and supplies.

 § Establish cooperatively, with internal and external colleagues, the schedule and coverage for programs and tours, as appropriate/assigned.

 § Monitor and track campus visit registrations and attendance through Ellucian Recruiter.

 § Represent the University, its missions, policies, and procedures, benefits and features to a broad range of constituents in person, on the telephone, and/or via email.

 § Design recruitment presentation materials and resources consistent with the Undergraduate Admissions mission and goals.

 § Maintain detailed reports of campus visits and evaluations to determine overall success of programs and events.

 § Meet regularly with supervisor to provide updates, monitor performance, and seek guidance.

 § Occasionally assist with prospective student appointments, high school visits, and college fairs.

 § Create and maintain information using Google Docs, Excel, PowerPoint, Publisher, Word and/or Prezi.

 § Understand and respond to general campus, program, admissions, application, financial aid (including need and merit-based aid), and recruitment questions posed by callers, visitors or emails.

 § Refer students & parents to appropriate departments for assistance.

 § Familiarity with Oakland University and its organization, mission, commitments, structures, programs

 § Other duties as assigned

Qualifications:

Graduate Student Assistants must be fully admitted and enrolled for at least 8 credits for the academic year in a graduate program. Graduate course work and/or research must contribute directly to the satisfaction of Oakland's degree requirements. Graduate Student Assistants must have and maintain good academic standing (3.0 grade point average).

§ Applicants must be admitted and enrolled full time in an Oakland University graduate program. Certain programs are best fit for this position, including, but not limited to; Higher Education Leadership, Counseling, Communication, and Social Work,

 § Must be able to effectively work and communicate with prospective students, current students, parents, alumni, office colleagues, other university administrators and faculty, elementary, middle school and high school administrators, faculty, and community college counselors.

 § Must possess strong oral and written communications skills.

 § Must be willing to help prospective students and their families.

 § Must be detail-oriented and employ excellent customer service skills.

 § Must have two years of programming experience.

 § Must be able to effectively lead, supervise, train, and motivate student ambassador staff with full knowledge of personnel policies and practices.

 § Experience with large-scale event planning and campus recruitment tours.

 § Ability to work effectively as a member of a team and handle multiple tasks at once.

 § Must possess a strong desire to positively represent Oakland University.

 § Must be able to work on projects autonomously but be comfortable with direct supervision.

Supervision Exercised:

Functional supervision may be exercised over student support staff.

Supervision Received:

Supervision is received from the Assistant Director of Campus Visits or Assistant Director of Communication

Working Conditions:

Work is performed in a typical office environment. Limited to 20 hours per week during academic year.

Evening and weekend hours will be required to conduct special recruiting, on-site admission and enrollment programs both on- and off-campus

Contract period:  

August 2026-April 2027 

Tuition:

Full Tuition coverage up to 8 credits per semester. 8 month contract includes Fall and Winter semester only.

Compensation:

Student will receive a paid monthly stipend equivalent to $17.50 per hour. 

Summer Work

Currently Enrolled OU students (grad or undergrad) may work up to 40 hours during the summer semester before beginning this assistantship. Previously enrolled students or new OU Grad students will not be eligible to work until late August.
