Rec Well - Student Administrative Assistant

JOB SUMMARY

The Student Administrative Assistant provides administrative and operational support for University Recreation and Well-Being programs and office functions. Responsibilities include coordinating schedules and meetings, preparing and organizing documents, maintaining records and filing systems, completing data entry tasks, tracking inventory, and assisting with departmental communications and promotional materials. This role also supports financial and accounting operations by handling cash, reconciling deposits, monitoring Fusion agreement billing declines, and maintaining wage and hour tracking systems for student and casual staff positions. The Student Administrative Assistant is expected to demonstrate professionalism, organization, attention to detail, and the ability to manage multiple projects while providing reliable support to department operations. Additional duties may be assigned as needed.


MINIMUM QUALIFICATIONS

  • Previous customer service, clerical, administrative, or cashier/accounting experience preferred
  • Proficient in Microsoft Office, Google Suite, and Google Sheets
  • Strong attention to detail, organization, and accuracy
  • Excellent written, verbal, and interpersonal communication skills
  • Comfortable working in a detail-oriented environment with multiple concurrent projects 
  • Demonstrates initiative, sound judgment, and strong problem-solving skills while working independently
  • Must be reliable and timely
  • Ability to Work Independently: Proven track record of effectively managing time and tasks with minimal supervision while consistently meeting deadlines and achieving goals.
  • Strong Communication Skills: Excellent verbal and written communication abilities and demonstrated ability to collaborate effectively with team members and stakeholders.
  • Attention to Detail: Exceptional focus on accuracy and thoroughness, ensuring that all tasks are completed with care. Skilled in identifying potential errors or areas for improvement in processes.

RESPONSIBILITIES AND DUTIES

  • Provide administrative and operational support for University Recreation and Well-Being programs and office functions
  • Coordinate schedules, meetings, and general office communications
  • Prepare, organize, and maintain documents, records, and filing systems
  • Complete data entry and maintain accurate departmental records and tracking systems
  • Assist with inventory tracking and organization of office supplies and materials
  • Support departmental marketing and promotional efforts as assigned
  • Perform financial and accounting support tasks, including cash handling, drawer balancing, and deposit reconciliation
  • Monitor and track Fusion agreement billing declines and follow established procedures
  • Maintain wage-and-hour tracking systems for hourly payroll staff positions
  • Provide prompt, reliable, and professional service to internal and external customers
  • Maintain a clean, organized, and professional work environment
  • Demonstrate professionalism, initiative, attention to detail, and strong organizational skills while managing multiple projects and responsibilities

COMPENSATION

  • $15/hour - Minimum rate for new hires


CONDITIONS OF EMPLOYMENT

  • This position requires availability Monday through Friday, with an anticipated workload of 6–10 hours per week.
  • The schedule offers some flexibility; however, employees must be available for a three-hour shift on both Monday and Wednesday between 7:30 a.m. and 1 p.m.
    • Additional hours will be scheduled based on departmental needs and employee availability. Weekly hours may vary slightly.
  • Act in accordance with the Clery Act as a mandated reporter and carry out responsibilities in reporting a crime on campus as a University Recreation and Well-Being staff member.
  • Must be enrolled part-time, at least 6 credit hours per semester for undergraduate students and 4 credit hours for graduate students at Oakland University.

SUPERVISION RECEIVED

  • The Student Administrative Assistant operates under the joint supervision of the Assistant Director of Budget and Business Operations and the Director of University Recreation and Well-Being.
  • Additionally, the Student Administrative Assistant may receive on-duty requests or instructions from any Rec Well professional staff member.
