HR Operations Intern

Role Overview
This internship is designed for someone who is genuinely energized by working with people, stays organized under pressure, and wants to learn HR from the inside of a high-growth staffing firm. Unlike a traditional single-employer HR internship, this role exposes you to the full contractor employment lifecycle across multiple industries and client environments — the kind of breadth that typically takes years to accumulate.
Your primary focus will be owning the contractor onboarding experience. You will serve as the first real voice a new contractor hears from CrossFire, guide them through every step from placement to day one, and make sure nothing slips. As we prepare for significant growth in placement volume, this role is mission-critical: you will directly determine whether our expansion scales smoothly or becomes a bottleneck.
You will also support timesheet and payroll administration, giving you a complete picture of how HR and back-office functions operate together in a staffing environment. Hands-on experience with our ATS and back-office systems will be part of your daily work and a tangible line on your resume.
Key Responsibilities
Contractor Onboarding & Experience (Primary Focus)
- Own the end-to-end onboarding process for contractors beginning new client assignments
- Serve as the primary point of contact for contractors navigating onboarding, providing timely, clear, and professional communication at every step
- Collect, review, and verify required documentation: I-9/E-Verify, W-4, direct deposit authorization, required certifications, and any client-specific requirements
- Coordinate with the Employment Solutions team to confirm all compliance steps are completed prior to each contractor’s start date
- Maintain accurate and up-to-date onboarding records in our ATS and back-office systems
- Proactively identify and resolve onboarding roadblocks to ensure contractor start dates are met without delay
- Communicate status updates to internal stakeholders and field staff throughout the onboarding process
- Support the development and refinement of onboarding checklists and workflows as placement volume scales
HR Compliance & Documentation (Daily Requirement)
- Maintain organized, audit-ready HR and compliance records for all active contractors
- Handle all documentation with strict confidentiality. Employee and contractor records carry the same sensitivity as any core HR function.
- Ensure documentation meets federal, state, and client requirements; flag exceptions or compliance gaps to leadership immediately
- Assist in I-9 verification, re-verification, and E-Verify coordination as required
- Support recordkeeping for assignment changes, status updates, and offboarding as needed
Timesheet & Payroll Administration (Supporting Function)
- Collect, track, and reconcile weekly timesheets from active contractors across client accounts
- Follow up with contractors and field staff to resolve missing or inaccurate time submissions
- Assist in preparing payroll funding summaries for each payroll cycle
- Verify contractor hours and bill rates against active assignments and client contracts prior to funding
- Support reconciliation of payroll funding records against invoicing and cash flow reports
What We’re Looking For
- Currently pursuing a degree in Human Resources, Business, Psychology, Communications, or a related field — HR degree programs and students active in HR or business professional associations especially encouraged to apply
- Genuine interest in HR, talent operations, or people-focused work; you want to build a career in this space, not just fill a summer
- Strong interpersonal and communication skills — you are comfortable picking up the phone, writing a clear professional email, and following up without being prompted
- High degree of discretion and respect for confidentiality; you will handle sensitive employee and contractor records daily
- Highly organized with strong attention to detail and a process-oriented mindset
- Comfortable working in a fast-paced, growing environment with competing priorities and shifting timelines
- Proficiency in Microsoft Office and general comfort learning new digital tools and HR platforms
- Prior experience in an HR, administrative, customer service, or people-facing role is a plus but not required
Full-Time Conversion Path
Strong performers who have graduated by the end of the summer internship will be considered for a full-time role within the Finance & Administration team at CrossFire in Fall 2026. We are a firm that promotes the people we know — and this internship is a genuine, two-way evaluation. If the fit is right, we will extend a real offer for a real role with real growth behind it. We are not in the business of running interns through a rotation and sending them home.
Compensation & Details
- $15–$20/hour, based on experience
- Paid internship with consistent, full-time hours throughout the summer
- Hands-on experience with ATS and back-office systems, I-9/E-Verify compliance, and the operational infrastructure of a growing staffing firm
- Exposure to EOS operational structure and the staffing industry across multiple client verticals
