Police Records Specialist
City of Oshkosh – Police Department | Oshkosh, Wisconsin
Pay Range: $21.81 – $24.92 per hour
Schedule: 4 days/week on a 2-week rotating schedule (see below)
The City of Oshkosh Police Department is seeking a detail-oriented Police Records Specialist to support critical public safety operations through accurate transcription, data entry, and records management. This role is ideal for a dependable professional who values accuracy, confidentiality, and service to the community.
The Police Records Specialist transcribes and enters report dictation and other police documents into the department’s Records Management System (RMS), ensuring data accuracy and compliance with reporting requirements.
Essential Duties & Responsibilities
This position performs a variety of records and administrative support functions, including:
Transcription, Data Entry & Data Integrity
- Transcribe incident reports daily into the RMS, including related data entry as needed
- Enter citations and crash reports/data into the RMS
- Enter final case dispositions and related records into corresponding software systems
- Identify, correct, and resolve name/address errors to maintain integrity across databases
- Validate incident report data to align with Wisconsin Department of Justice and/or FBI reporting requirements
- Ensure overall quality and accuracy of police reports
- Provide suggestions for operational improvements and notify supervisors when officer errors impact report processing
Records Management
- Scan and attach supporting documentation to incident reports in the RMS
- Assist with maintaining filing systems for incident reports and related records
- Assemble and forward reports/documentation to appropriate OPD personnel and other law enforcement agencies
Qualifications
- High School Diploma or equivalent and minimum age of 18.
- Demonstrated ability to maintain strict confidentiality of sensitive public and departmental information
- Ability to use transcription equipment, learn Uniform Crime Reporting (UCR) codes and classifications, and enter data accurately
- Excellent written and verbal communication skills, including strong spelling/grammar and fluency in English
- Ability to plan work, make sound decisions, and complete tasks with minimal supervision
- Ability to learn and apply modern office principles, computer technologies, and software applications
Work Schedule (Part-Time w/ Benefits)
This position works 4 days per week on a rotating 2-week schedule:
- Week 1: Monday – Thursday | 2:00 p.m. – 8:00 p.m.
- Week 2: Sunday – Wednesday | 2:00 p.m. – 8:00 p.m.
