Intellectual Property Paralegal
Paralegals at Vivacqua Crane provide essential support to attorneys in managing and protecting intellectual property rights, including patents, trademarks, copyrights, and trade secrets. This role involves coordinating the preparation, review, and filing of legal documents while ensuring compliance with strict deadlines and regulatory requirements. IP paralegals are responsible for maintaining organized case files, docketing critical dates, and supporting the full lifecycle of Intellectual Property matters from initial intake through registration and maintenance. They frequently communicate with clients, attorneys, and external agencies to gather information, provide updates, and facilitate workflows. In addition, they assist with preparing applications, processing conflict checks, drafting matter-related documents, and assembling signature-ready documents. Strong attention to detail, organizational skills, and the ability to manage multiple priorities are critical to success in this role.
Key Responsibilities
- Docket and track deadlines to ensure timely filings and responses
- Prepare, review, and file intellectual property documents and applications
- Assist with the preparation of patent, trademark, and copyright applications
- Draft and assemble matter-related documents and correspondence
- Prepare and circulate signature-ready documents for execution
- Process conflict checks for new clients and matters
- Maintain and organize electronic and physical case files
- Communicate with clients, attorneys, and government agencies (e.g., the USPTO)
- Monitor application status and update internal tracking systems
- Support overall case management and ensure compliance with legal requirements
