Government Document Specialist - Intern
Position Summary
RENOGY X is seeking a detail-oriented Summer Intern to support documentation and Incentive Claim Form (ICF) submissions for government-funded energy projects. The intern will work closely with the operations and project teams to organize project records, verify information, track submission status, and help ensure applications are completed accurately and on time.
Key Responsibilities
- Assist with preparing and submitting ICF packages for government incentive projects.
- Collect and organize project documents, including contracts, invoices, permits, inspection records, equipment information, and customer forms.
- Review files for completeness, accuracy, and consistency before submission.
- Enter and update project information in spreadsheets, internal systems, and government program portals.
- Maintain an organized tracker of submission status, missing documents, deadlines, and follow-up items.
- Coordinate with project managers, finance, sales, and customers to obtain required information.
- Perform basic data reconciliation between project documents and internal records.
- Support other administrative and project coordination tasks as needed.
Work Arrangement
The intern will be expected to work in the Ontario office during the first one to two weeks for onboarding and training. Once the intern is familiar with the workflow and demonstrates the ability to work independently, a hybrid or remote arrangement may be considered. The final arrangement will depend on the individual’s performance, reliability, and ability to manage responsibilities effectively; otherwise, the position will remain primarily in-office.
Qualifications
- Current college student or recent graduate in business, accounting, finance, project management, public administration, engineering, or a related field.
- Strong attention to detail and ability to work accurately with documentation and numerical data.
- Proficient in Microsoft Excel, Word, Outlook, and PDF tools.
- Strong organizational and time-management skills.
- Able to follow established procedures and manage multiple deadlines.
- Clear written and verbal communication skills.
- Comfortable handling confidential customer and project information.
- Prior experience with data entry, document review, solar energy, construction, or government programs is preferred but not required.
