Event Intern
We are seeking a proactive and detail-oriented Event Intern to join our Office of Innovation team. Reporting directly to the Event Planner II, you will play a crucial role in ensuring the seamless execution of events and optimizing the event experience for our clients. Your responsibilities will encompass a wide range of tasks, including client meetings, event preparation, setup, takedown, event space management, and administrative support.
Responsibilities:
- Collaborate closely with the Assistant Event Manager to assist with event experience, including meeting with clients, showcasing event spaces, and addressing client needs.
- Take ownership of event preparation, ensuring all necessary materials and resources are organized and ready for use.
- Facilitate event setup and takedown, including pre-event setup and post-event cleanup to maintain a clean and welcoming environment.
- Conduct thorough walkthroughs of all event spaces to identify and address any logistical or operational concerns.
- Proactively restock event-related materials, ensuring availability throughout the duration of events.
- Maintain organization of files and data using Airtable and Dropbox, ensuring easy access and retrieval of information as needed.
- Assist in coordinating logistics for events, including coordinating with vendors, managing equipment rentals, and overseeing delivery and setup.
- Provide administrative support as needed, including scheduling meetings, preparing documents, and responding to inquiries.
- Collaborate with team members to brainstorm ideas and contribute to the continuous improvement of event processes and procedures.
